In recent years, there has been a prevailing sentiment that cosplayers are seen more as attractions than individuals within our community. However, behind these impressive costumes are everyday people who simply want to pursue their hobby. With the message "Cosplay is not consent," the community wants to emphasize the importance of asking for permission. Unfortunately, cosplayers are still subjected to unwanted touching, photographs taken without their consent, and insufficient consideration for the practical aspects of their outfits. Through this photo pass, CosplayCloud aims to support the community and hopes to contribute to reducing this issue. The golden rule always remains to ask for permission when taking a photo or posing with a cosplayer. Stay respectful, even if the cosplayer declines your request at that moment.

Where can I find the regulations for the photopass?

It is important that you regularly review this regulation for any updates. The regulation found on the CosplayCloud Hub is always the current one.

On which events is this photo pass valid?

You can use the photo pass at all events! Currently, the Photo Pass is only MANDATORY at the Manga & Cosplay Festival organized in and by the Japanese Garden of Hasselt. However, feel free to use your photo pass at other cosplay-related events! The photo pass allows you to quickly and efficiently exchange contact information with cosplayers and provides a simple and recognizable way of identification. By showing the photo pass, you exude professionalism and create a trusted bond with cosplayers, making them feel comfortable during photoshoots.

When am I required to register for a photo pass?

You are required to register when practicing photography with a camera that has interchangeable lenses. Individuals taking photos with a device without interchangeable lenses (such as a mobile phone) are not required to register. However, individuals taking photos with a device without interchangeable lenses still need to adhere to the photo pass regulations when it is mandatory by the event organizer. Failure to do so may still result in a request to register for a photo pass.

How long is the photo pass valid?

This new version of the photo pass is valid until otherwise indicated. If the validity of the photo pass expires due to revisions in the system, you will be notified by email.

Where can I collect my photo pass?

When the photo pass is required by the event organizers, you can collect the photo pass at the entrance of the event. If the photo pass is not mandatory, you can collect your photo pass at the CosplayCloud Booth.

Why do I need to share my address and phone number?

When you register as a photographer, you are required to share your address and phone information. These details are solely used to contact you if you have violated the rules of the Fotopas once or multiple times at an event where it is mandatory. Your information will never be shared with third parties, nor will it be included in your profile on the CosplayCloud Hub.

Why do I have to provide my name and age? Why do I have to add a profile photo during registration?

The CosplayCloud Hub operates with user profiles. These profiles are only accessible to individuals who, like you, are registered on the CosplayCloud Hub. Your name and profile photo will be visible on your profile on the CosplayCloud Hub (similar to Facebook), and they will also be visible on your Fotopas. We do this to ensure that the Fotopas is linked to your identity. It is important that you provide accurate information and use a recognizable photo. Failure to do so may result in your account being removed.

We kindly ask you to provide your age because CosplayCloud Hub is a place for everyone, including minors. As we take the protection of minors seriously, we choose to request the age of the registered individual to prevent any mistakes.

Why do I have to indicate whether I share my photos?

Whether you share your photos or not is indicated on your personal profile on the CosplayCloud Hub, as well as on your photopass. If you choose to share your photos, the method of sharing will be specified on both your personal profile and your photopass.

What happens if I violate the rules of the photopass?

Wanneer u het reglement van de fotopas overtreed kunt u hierover aangesproken worden door een gemachtigd opzichter. Deze gemachtigde opzichter zal altijd eerst proberen sensibiliseren. Indien sensibilisering niet werkt kan de gemachtigde opzichter u toegang van het evenement waar de fotopas verplicht is ontnemen, zonder vergoeding. Indien u het reglement 3 keer overtreden heeft zult u automatisch verwijderd worden van het evenement zonder vergoeding. Wanneer dit gebeurd wordt uw fotopas ook ingetrokken en zult u zich niet meer kunnen registeren voor een nieuwe fotopas, nog deelnemen aan een evenement waar de fotopas verplicht is. De fotopas is gratis maar blijft altijd de eigendom van CosplayCloud.

What if I attend an event where the photopass is mandatory without registering for one?

f you attend an event where the photopass is mandatory without having one, you will be provided with a temporary photopass. When requesting such a temporary photopass, you need to provide the same details as for registering for a photopass on the CosplayCloud Hub. However, processing these details and creating the temporary photopass might take some time. To save as much time as possible when entering the event, we recommend applying for a permanent photopass by registering on this website. Besides saving time, this approach also ensures that you remain in full control of your personal information. Through this website, you can view, modify, and delete these details as you wish. This way, we aim to remain open and transparent.
